How we mapped and automated the entire operational flow for a therapy organization — connecting therapist notes, client records, billing, payroll, and discharge summaries across every tool they use.
The Problem
Right of Way's therapists were drowning in paperwork. After every session, they had to manually write notes, fill out forms, update client records, and route information to the right people — all in different systems that didn't talk to each other. Time spent on admin was time taken away from clients.
The organization was running on a mix of disconnected tools — Outlook, Google Sheets, PDFs, internal forms — with no automated handoffs between them. Every discharge summary, billing record, payroll calculation, and progress note required someone to manually copy and paste data across systems.
What We Built
We mapped the entire operational flow — from intake to discharge — and built a Zapier automation system that connects every tool the organization already uses. Therapists submit their notes through a structured form. From there, Zapier handles everything: routing data to the right Google Sheets databases, generating PDF summaries, sending Outlook notifications, updating dashboards, and triggering payroll and billing calculations.
The system handles therapist notes, client intake, SAF tracking, discharge summaries, individual treatment plans, monthly progress notes, billing dashboards, and payroll — all automated, all connected.

The System Architecture
Built entirely on Zapier with no custom code. Data flows from intake forms through a network of Zaps that route to Google Sheets databases, generate PDFs, trigger Outlook emails, and update multiple dashboards. Form Ranger keeps dropdowns in sync across all sheets. The automation map covers 30+ distinct workflows across therapist notes, client management, billing, and payroll.
The Results
Therapists now spend their time on clients, not paperwork. Notes entered once flow automatically through the entire system — triggering billing updates, payroll calculations, dashboard refreshes, and client record updates without anyone lifting a finger.
The organization has full visibility into every client, every SAF, every therapist's caseload, and every billing cycle — all in real time.
