Seven Sequences. One Voice. No Filler.
How we ran Gmail and HubSpot discovery across years of client history, drafted targeted re-engagement sequences for four past clients, and calibrated the output voice into a reusable template — direct, no filler, trusting the reader.

The Problem
Past clients represented latent revenue — relationships that had gone quiet rather than ended, where the context and trust were already there. But generic re-engagement templates consistently missed: they sounded like the mass emails every agency sends, not like a continuation of an actual working relationship.
The data existed — years of Gmail threads and HubSpot activity logs — but nobody had synthesized it into targeted outreach that referenced real shared history.
What We Built
We ran Gmail and HubSpot discovery across years of thread history for four past clients, extracting the project context, communication patterns, and unresolved threads that would make a re-engagement feel like a follow-up rather than a cold pitch.
We drafted seven sequences using that context, then went through a voice calibration pass after initial feedback — tightening toward: direct, no filler, trusting the reader, clean grammar, no hollow affirmations like 'Great question!' The calibrated voice was then captured as a rule set and phrase library in the Automaton voice clone database.

The System Architecture
Gmail API for thread discovery and context extraction. HubSpot for activity log and deal history review. Claude for sequence drafting with client-specific context. Voice calibration pass with rule extraction. Rules and phrases stored in Automaton voice clone database: 12 style rules, 40+ calibrated phrases. Database is now the source of truth for all Automaton outbound communication.
The Results
Seven drafted sequences, several sent, and a calibrated voice template now stored in the Automaton voice clone database for all future outreach. The voice rules have since been applied to the email triage system, prospect outreach, and the client portal communication templates.
The re-engagement also surfaced a consistent finding: past clients respond well to specificity. A message that references a real project milestone performs significantly better than one that references 'our work together.'
